Workshops are generally purchased separately from the main conference registration unless a specific registration package expressly states otherwise.
Workshop places are limited and are allocated on a first-come, first-served basis, subject to successful registration and payment.
Some workshops may have additional eligibility requirements, prerequisites or participant limits.
The Organiser may offer packages combining conference registration, workshops or other activities. The inclusions and price applicable to each package will be clearly stated at the time of purchase.
Registration for one workshop does not automatically provide access to another workshop or to the main conference unless expressly stated.
The Gala Dinner and other separately identified social activities require a separate ticket or registration unless expressly included in a particular package.
Online card payments made through scosym2027.org are processed securely by NETOPIA Payments.
Payments are processed in RON.
No additional fee is charged by the Organiser to the participant solely for choosing online card payment.
Registration fees must be paid in full at the time of purchase unless the Organiser expressly provides otherwise.

The contractual relationship relating to the purchased registration or service is between the purchaser/participant and Asociația Terapie pentru Mișcare, unless expressly stated otherwise.

A payment is considered successful when the payment processor confirms successful authorisation of the transaction.
If a transaction is declined, interrupted or otherwise unsuccessful, the registration or service will not be considered paid.

Participants and purchasers are responsible for providing complete and accurate billing information.
Where an invoice must be issued to a company, institution, association or other legal entity, the purchaser must provide the required billing information during the checkout process.
The purchaser is responsible for verifying the billing information before completing the order and for notifying the Organiser promptly if an error is identified.
ScoSym registrations and other event participation services are provided electronically. No physical product is shipped or delivered in connection with a standard conference registration.
Following successful placement and payment of an order, the purchaser will receive an electronic order and/or payment confirmation at the email address provided during registration.
Where no additional eligibility verification is required, registration will be considered confirmed following successful payment and the corresponding electronic confirmation.
Where a preferential registration category requires verification of professional, academic, student, resident, membership or other eligibility status, final confirmation of that registration category is subject to verification of the required supporting documentation.
The purchased service is ultimately provided through access to the relevant conference, workshop or activity on the dates specified for that service.
Participants will receive any additional access, schedule, venue, security or organisational information necessary for participation electronically and/or through the event website before the relevant event or activity.
No shipping or physical delivery charges apply to conference registrations or electronically confirmed event participation services.
A participant who is unable to attend may request cancellation by contacting:
Subject to any mandatory consumer rights described in Section 12, the following contractual cancellation policy applies to conference registrations, workshops and other paid participation activities:
The applicable deadline is calculated according to the date on which the Organiser receives the written cancellation request.
For a package containing more than one event or activity, the cancellation deadline will be calculated from the earliest scheduled activity included in that package, unless different cancellation conditions are expressly stated on the relevant product or registration page.
Failure to attend the event (“no-show”) does not entitle the participant to a refund.
Registration fees cannot be transferred as credit towards a future edition of ScoSym.
Where a registration was purchased as part of a package, any refund will be calculated taking into account the conditions and components of that package.
Approved refunds will be made using the same payment method used for the original transaction, unless otherwise agreed with the purchaser or technically required by the applicable payment method.
The time required for the refunded amount to become visible in the purchaser’s account may depend on the payment processor, card issuer or other financial institution.
This contractual cancellation policy does not exclude or restrict any right of withdrawal, refund or other consumer right that applies mandatorily under Romanian or European Union law.
A paid registration may be transferred to another eligible participant up to 15 days before the start of the relevant event, subject to prior written notification to and approval by the Organiser.
The replacement participant must:
If the replacement participant falls within a registration category subject to a higher fee, the difference must be paid before the transfer is confirmed.
No transfer is permitted less than 15 days before the event unless expressly accepted by the Organiser.
Registrations may not be resold for commercial purposes.
Where a registration or other service is purchased by a natural person acting as a consumer, the mandatory consumer rights provided by Romanian law and applicable European Union law remain fully applicable.
Under Government Emergency Ordinance No. 34/2014 on consumer rights, consumers entering into distance contracts generally benefit from a 14-day right of withdrawal, subject to the conditions and exceptions provided by law.
Applicable legislation provides exceptions to the statutory right of withdrawal for certain categories of contracts, including certain services connected with activities scheduled to take place on a specific date or during a specific period.
Where a statutory right of withdrawal applies to a particular purchase made through scosym2027.org, the consumer may exercise that right within the applicable statutory period by sending an unequivocal statement of withdrawal to:
The consumer should identify the relevant order and clearly communicate the decision to withdraw from the contract.
Where the statutory right of withdrawal does not apply to a particular service under an applicable legal exception, the participant may nevertheless benefit from the contractual cancellation and refund conditions set out in Section 10.
Nothing in these Terms & Conditions excludes, limits or replaces any consumer right that cannot lawfully be excluded or restricted.
If ScoSym 2027 is cancelled by the Organiser and is not postponed, relocated or provided through an agreed alternative format, registered participants will be entitled to a full refund of the registration fee paid.
The Organiser will not be responsible for reimbursement of costs incurred independently by participants, to the extent permitted by applicable law, including:
Participants are therefore encouraged to use flexible or refundable travel and accommodation arrangements and appropriate travel insurance.
If ScoSym 2027 is postponed, existing registrations will automatically remain valid for the rescheduled event.
Participants who are unable or do not wish to attend on the rescheduled dates may request a refund within the period communicated by the Organiser when the postponement is announced.
The Organiser will provide information concerning the applicable procedure and deadline for requesting such a refund.
Nothing in this section limits any mandatory rights that may apply under applicable consumer law.
The scientific programme is subject to change.
The Organiser may, where reasonably necessary:
The cancellation or replacement of an individual speaker, lecture, presentation or programme component does not constitute cancellation of the conference and does not automatically entitle participants to a refund.
The Organiser will endeavour to maintain the scientific scope and quality of the programme when changes become necessary.
The Organiser reserves the right to cancel a workshop, including where:
If the Organiser cancels a separately paid workshop and does not provide a suitable replacement or rescheduled workshop, the workshop registration fee will be refunded in full.
Cancellation of an individual workshop does not automatically entitle the participant to cancellation or reimbursement of the main ScoSym registration.
The Organiser will not be liable for failure or delay in performing its obligations where this results from circumstances beyond its reasonable control.
Such circumstances may include, without limitation:
Where such circumstances affect ScoSym 2027, the Organiser may, where reasonably necessary:
Any refund, credit or alternative arrangement in such circumstances will be determined according to the particular circumstances, costs already incurred or committed, services that can still reasonably be provided and applicable mandatory law.
Nothing in this section excludes or restricts any refund or other remedy that must be provided under applicable mandatory law.
ScoSym 2027 may offer online or hybrid participation options.
Where an online registration option is made available, its price, included content and conditions will be specified on the relevant product or registration page.
Online access credentials and streaming links are personal and non-transferable.
Participants must not:
The Organiser is not responsible for a participant’s inability to access online content due to their own:
If a significant technical failure attributable to the Organiser’s streaming infrastructure prevents access to a substantial part of the online programme, the Organiser will endeavour to provide an appropriate remedy, such as access to a recording or alternative means of accessing the affected content, without prejudice to any mandatory rights applicable to the participant.
Abstract submission is open independently of conference registration, subject to the submission requirements published by ScoSym.
Submitting an abstract does not constitute registration for ScoSym 2027.
Acceptance of an abstract does not include complimentary registration unless expressly stated otherwise by the Organiser.
Abstracts will be evaluated according to the scientific review process established for ScoSym 2027.
The Scientific Committee has authority to accept or reject submissions and, where applicable, determine the appropriate presentation format, including oral or poster presentation.
Scientific decisions regarding abstract acceptance, rejection and presentation format are final, subject to any review procedure expressly established by the Scientific Committee.
Authors retain copyright in their abstracts and scientific work.
Submission of an abstract does not, by itself, constitute an unrestricted transfer of copyright or a general licence to publish the work.
If ScoSym intends to publish accepted abstracts in an abstract book, proceedings, scientific journal, online repository or another publication, the applicable publication terms and any required author permissions or licences will be communicated separately.
The Organiser may nevertheless process and use the information reasonably necessary to administer the submission, conduct scientific review, correspond with authors and prepare the scientific programme, in accordance with the Privacy Policy.
Eligible participants may receive a certificate of attendance.
Unless otherwise stated for a particular activity, issuance of a certificate requires participation in at least 70% of the applicable scientific programme or educational activity.
The Organiser may use appropriate attendance-verification mechanisms.
ScoSym 2027 intends to seek relevant continuing medical education / continuing professional development accreditation, including, where applicable, accreditation through the Romanian College of Physicians (Colegiul Medicilor din România).
Accreditation procedures may still be pending at the time registration opens.
Accordingly, unless officially confirmed and published by the Organiser, no particular number of CME/CPD credits is guaranteed.
Any credits ultimately awarded are subject to the rules, eligibility requirements and decisions of the relevant accrediting body.
International participants who require documentation in support of a visa application may request an invitation or participation confirmation letter from the Organiser.
Such letters will normally be issued only after:
An invitation or support letter does not constitute sponsorship, financial support or a guarantee that a visa will be granted.
Visa decisions are made exclusively by the relevant embassy, consulate, immigration authority or other competent authority.
The Organiser is not responsible for visa refusals, processing delays or immigration decisions.
Participants remain responsible for applying sufficiently in advance and complying with all applicable entry and immigration requirements.
The standard cancellation policy remains applicable where a participant cannot attend because a visa has been refused, except where mandatory law provides otherwise.
Participants are responsible for arranging and paying for their own:
ScoSym may publish hotel recommendations, negotiated rates, booking codes or other travel-related information for participants.
Unless expressly stated otherwise, any accommodation or travel booking is a separate contract between the participant and the relevant third-party provider.
The Organiser is not responsible for the acts, omissions, availability, cancellations or service quality of hotels, airlines, transport operators or other independent travel providers, subject to applicable mandatory law.
Participants must comply with all applicable access, identification, security, safety and conduct requirements imposed by the event venues.
In particular, access to the Palace of Parliament may be subject to security and identification procedures established by the venue or competent authorities.
Participants are responsible for bringing any identification or documentation communicated as necessary for access.
The Organiser cannot guarantee admission to a participant who fails to comply with mandatory venue or security requirements.
Such refusal of access does not automatically entitle the participant to a refund where the refusal results from the participant’s own failure to comply with communicated requirements.
ScoSym is committed to providing a professional, respectful and safe scientific environment.
Participants must behave appropriately toward other attendees, speakers, organisers, staff, volunteers, exhibitors and venue personnel.
The Organiser may refuse admission or remove a participant from the event where reasonably necessary because of:

Sponsors and exhibitors are independent third parties.
Their participation in the event does not necessarily constitute an endorsement by the Organiser of their products, services, claims or commercial activities.
Any transaction or arrangement entered into directly between a participant and a sponsor, exhibitor or other third party is the responsibility of those parties.
Separate contractual terms apply to sponsors and exhibitors and are not governed by these participant Terms & Conditions.
To the maximum extent permitted by applicable law, the Organiser will not be liable for:
